A candidate submittal email should explain why the person is relevant to the specific role, identify material open questions, and ask for a clear next step. Keep the email distinct from the full candidate write-up: it introduces the evidence rather than repeating every screening note.

## A reusable introduction

Fictional template; replace every bracketed field with verified information and follow your agency's candidate-presentation process.

> Subject: [Role] — [candidate reference] for review
>
> I am sharing [candidate reference] for the [role] search. Their relevant experience includes [specific responsibility] and [example connected to the agreed requirement].
>
> During our screen, they described [candidate-stated evidence]. [Important practical detail] is confirmed; [open question] still needs discussion.
>
> The attached write-up summarizes the evidence against your brief. Would you like to arrange [next agreed interview stage]? Please let me know [specific feedback requested] by [date, if agreed].

Do not include a deadline the client never accepted as though it were a commitment.

## Select the right evidence

| Email element | Include | Avoid |
| --- | --- | --- |
| Relevance | Concrete responsibility tied to the role | “Perfect fit” without evidence |
| Practical details | Current, confirmed constraints | Unverified start dates |
| Open question | Material information still needed | Hiding a known gap |
| Next step | A specific request | A vague “thoughts?” |

The strongest introduction is often a precise one. If a candidate prepared reports but did not own the function, say that. Selling the relevance does not require overstating responsibility.

## Check the attachment and recipient

Confirm the candidate reference, role, client, and document version. Remove internal-only commentary from the client-facing document. A correct email with the wrong attachment is still an incorrect submission.

If the client uses a portal or ATS-based submission instead of email, follow that process and adapt the introduction to the destination. Do not create an extra channel merely because the template is available.

## Record the result of the action

After the authorized send, record the destination, date, and next owner in the agency's normal system. A prepared email is not a completed submission. If delivery is uncertain, reconcile the result before sending another copy.

Use the [candidate submittal template](/blog/candidate-submittal-template) for the full document. Recruit Recap's [submittal workflow](/solutions/candidate-submittals) produces custom write-ups for recruiter review; this email example is an editorial resource, not a claim that Recruit Recap sends client emails or guarantees submission delivery.
