# Google Meet recruiting notes: plan capture, review, and sharing

For recruiting calls on Google Meet, decide how notes will be captured, who will receive them, and how the conversation becomes a reviewed recruiting record.

For recruiting calls on Google Meet, decide how notes will be captured, who will receive them, and how the conversation becomes a reviewed recruiting record. A meeting recap and a candidate submittal have different audiences and should not be treated as interchangeable outputs.

## Verify the capture option in your account

[Google's current documentation](https://support.google.com/meet/answer/14754931?hl=en) describes “Take notes for me” for eligible plans, with notes organized in Google Docs and sharing controls. Check availability and administrator settings in your actual account. Do not assume a feature seen in another organization's meeting is enabled for yours.

Recruit Recap is a separate option that uses a visible opt-in bot for selected Google Meet, Teams, and Zoom meetings. Evaluate the selected approach under your agency's approved recording and information-handling process.

## Plan the recipient list

| Check | Question to answer before the screen |
| --- | --- |
| Organizer | Who owns the meeting and resulting record? |
| Capture | Which approved note-taking method will be used? |
| Recipients | Who should receive the raw recap versus the reviewed write-up? |
| Destination | Where does the approved recruiting note belong? |

Google's documentation notes that sharing choices can refer to invited guests, not just people who attended. Review the actual setting rather than assuming a candidate-facing meeting will produce an internal-only note.

## Test the recruiting output

Use a fictional practice conversation containing a role example, a conditional availability statement, and an unanswered question. Check whether the result preserves those distinctions. Do not evaluate solely on whether a document appeared after the meeting.

Fictional statement: “I could interview next Tuesday, but I have not decided about a move.” The reviewed note should not turn that into employment availability or confirmed interest in submission.

## Complete the review and handoff

Check names, technical terms, compensation units, and dates against the source. Create the appropriate recruiting write-up and follow the agency's approved sharing process. A Google Docs link is not automatically the right destination for a client or ATS workflow.

Use the [screening template](/blog/candidate-screening-notes-template) for the output and the [buyer guide](/blog/ai-note-takers-recruiting-agencies) for evaluating alternatives. Recruit Recap's custom write-ups are reviewed by recruiters; any ATS integration is scoped on demand. Verify the entire path from selected meeting to usable record before expanding the workflow.
