Choose between a manual and automated ATS handoff by comparing accuracy, effort, exception handling, and the stability of the required mapping. Automation is useful only when the destination and review process are clear enough to verify.

## Compare the real work

| Dimension | Manual handoff question | Automated handoff question |
| --- | --- | --- |
| Identity | Does the recruiter select the right record? | How is the match confirmed? |
| Formatting | How much rework is needed? | What survives the transfer? |
| Correction | Which copies must be updated? | Does an update propagate as intended? |
| Failure | Can the user see an incomplete save? | Are retries and errors visible? |

Neither column is inherently error-free. Test the process your team will actually use.

## Start with a stable output

If recruiters are still changing the template every week, define the required fields and meanings before committing to a complex integration. A manual reviewed transfer may help establish the right format while the broader scope is agreed.

Fictional example: the agency discovers that its “availability” field mixes interview windows and employment start dates. Automating that mapping would move the ambiguity faster. Fix the definition first.

## Include exceptions in the cost

An automated path that works for ordinary records may still require manual handling for duplicate candidates, missing permissions, or corrected information. Record how often those cases occur in the pilot and who resolves them.

A manual process also needs clear ownership and a final check. Copying text is not complete until the intended reader can find and understand the note on the correct record.

## Make a scoped decision

The agency can automate one well-defined workflow while retaining manual review or transfer for others. Document that boundary so users do not assume every note is synchronized automatically.

Use [field mapping](/blog/recruiting-ats-field-mapping-worksheet), [acceptance tests](/blog/ats-integration-acceptance-test-plan), and [review-time measurement](/blog/measure-recruiter-note-review-time) to compare the alternatives. Recruit Recap integrations are scoped on demand. A custom write-up can be useful before a particular connector is established, but the agency should confirm the actual destination process before describing the workflow as automated end to end.
