When evaluating recruiting notes for Microsoft Teams meetings, test the final output against your agency's screening or intake format. Current meeting tools can offer customization, so compare what your team can actually produce and review rather than assuming every built-in recap is fixed or generic.

## Check the available recap features

[Microsoft documents custom recap summaries](https://support.microsoft.com/en-us/teams/meetings/customize-recap-summaries-in-microsoft-teams), including ready-made and custom templates. The documentation states that AI summaries require a transcribed meeting. Confirm eligibility, settings, and access in your own environment before designing the workflow around them.

Recruit Recap uses a separate visible opt-in bot for selected Teams, Meet, and Zoom meetings. Its product fit should be evaluated through the recruiting write-up and review process you need, not a blanket claim that Teams cannot customize notes.

## Use one recruiting test format

| Output section | What to inspect |
| --- | --- |
| Relevant experience | Individual responsibility is clear |
| Practical details | Dates and compensation retain conditions |
| Open questions | Missing information remains missing |
| Next actions | Correct owner and actual commitment |

Run an approved fictional conversation through the process. Keep the source and required sections constant if comparing options, and record differences in review effort and completeness.

## Check organizer and guest behavior

A screen hosted by the agency may behave differently from a client-hosted meeting. Test the actual meeting arrangements your recruiters use, including who can access the recap and whether the selected capture method is admitted.

Do not resolve an access problem by broadening sharing without the appropriate owner's approval. A useful note must remain within the intended audience as it moves from meeting record to recruiting document.

## Review before external use

Fictional output: “Candidate accepted the hybrid arrangement.” Source: “I would need to understand which days.” Correct the interpretation before the write-up informs a client conversation. Template customization does not remove the need for factual review.

Use [AI note review checks](/blog/review-ai-screening-notes-errors) and the [specialist-versus-general guide](/blog/recruiting-ai-note-takers-vs-meeting-assistants) to evaluate the broader workflow. ATS support should be checked separately; Recruit Recap integrations are scoped on demand, and a Teams recap or custom write-up does not by itself establish a completed ATS handoff.
