Choose a recruiting note-taking workflow by the calls your team actually makes. Direct telephone calls, dialer calls, and online meetings can require different capture methods. Support for a video meeting does not establish support for a phone conversation.

## Inventory the real call types

| Conversation type | Evidence to request from a vendor |
| --- | --- |
| Meet, Teams, or Zoom meeting | Demonstration with your actual host and settings |
| Direct phone call | Supported capture method and operational requirements |
| VoIP or dialer call | Exact supported system and transfer behavior |
| In-person conversation | Verified method, if offered, and approved process |

The table is a buying checklist. It does not mean Recruit Recap supports every row.

## Keep Recruit Recap's boundary explicit

Recruit Recap uses a visible opt-in bot for selected Google Meet, Microsoft Teams, and Zoom meetings. Direct telephone, botless, and in-person capture should not be assumed from that capability. If those methods are essential, verify an appropriate supported option before buying.

[CoRecruit's submittal page](https://corecruit.com/platform/candidate-submittal) is an example of a vendor presenting candidate write-ups as a workflow. Read the vendor's current capture documentation and request a demonstration of your call path; a submittal claim alone does not settle capture compatibility.

## Test the whole path

Fictional agency mix: most screens happen by phone, while client intakes use Teams. A Teams-only demonstration would validate only part of the workflow. Count the calls each method can actually cover instead of estimating benefits from the agency's entire call volume.

For each supported method, inspect the resulting note, speaker attribution, review process, and destination. A tool that captures the call but requires substantial rework may not fit the intended workflow.

## Plan a legitimate fallback

Where capture is unavailable or inappropriate, use the agency's approved manual note process. Do not bypass meeting restrictions or secretly record as a workaround. Keep any manually reconstructed note clearly distinguished from a transcript-backed record.

Use the [buyer guide](/blog/ai-note-takers-recruiting-agencies) and [pilot plan](/blog/recruiting-ai-note-taker-pilot-plan) to compare options. Make capture compatibility a buying gate, then evaluate custom write-ups, recruiter review, and the actual ATS scope. Do not let the quality of a sample document obscure whether your team's calls can be captured at all.
