# How to document an exploratory candidate conversation

An exploratory candidate conversation should record interest, relevant experience, constraints, and the next step the person agreed to.

An exploratory candidate conversation should record interest, relevant experience, constraints, and the next step the person agreed to. It should not make someone who agreed to learn more look like an active applicant ready for submission.

## State the conversation's purpose

Start the note with whether the discussion concerned a specific open role, a possible future opportunity, or an introduction. That context changes how later readers should interpret the candidate's answers.

| Section | Fictional exploratory note |
| --- | --- |
| Context | Introductory conversation about implementation leadership |
| Interest | Open to learning about scope and reporting line |
| Constraint | Cannot evaluate travel expectations until details are supplied |
| Agreed next step | Recruiter to send an approved role overview |
| Not established | Willingness to be presented to a named client |

The last row prevents a team from mistaking a useful networking conversation for approval to proceed through its submission process.

## Keep timing tentative when it is tentative

“Might consider a move later” is not a confirmed availability date. Ask what would make a follow-up useful and record the candidate's preference accurately. Avoid inventing urgency because the agency wants to fill a role quickly.

If there is no relevant next action, the record can say so. Creating an artificial follow-up commitment produces noise and may lead another recruiter to approach the person with incorrect expectations.

## Write a handoff that preserves context

Fictional overstatement: “Strong candidate for the director opening; available immediately.” Supported version: “Exploratory discussion suggests relevant implementation experience. Candidate requested details about director-level scope; interest in this opening and timing remain unconfirmed.”

A new account manager should be able to pick up the record without repeating basic questions or making promises the first recruiter did not make. Include the source date so old interest is not treated as current.

## Confirm the next use of the information

Before preparing a client-facing write-up, follow the agency's established process for confirming the opportunity and the candidate's participation. This article describes documentation practice, not a legal standard or a product permission mechanism.

For a confirmed screen, move to the [candidate screening notes template](/blog/candidate-screening-notes-template). Keep [motivation](/blog/candidate-motivation-notes) separate from commitment. Recruit Recap can help structure selected meeting notes for review, but a generated write-up should never determine on its own that an exploratory contact is ready to submit.
