Business development notes for a recruiting agency should capture the prospective client's problem, the status of the hiring need, the people involved, and the next agreed action. Interest in a conversation is not the same as an approved search engagement.

## Separate need from commitment

| Section | Fictional discovery note |
| --- | --- |
| Hiring context | Team expects possible implementation hiring next quarter |
| Problem | Current sourcing process lacks relevant delivery experience |
| Decision process | Department lead to discuss priorities internally |
| Confirmed commitment | Follow-up conversation after planning meeting |
| Not confirmed | Approved role, budget, or agency engagement |

The example is fictional. It illustrates how to avoid overstating an early opportunity in an internal handoff.

## Capture the prospect's language accurately

Record the practical issue they described and the consequence they identified. Do not manufacture urgency, budget, or authority from a general expression of frustration. If the prospect does not know the timeline, preserve that uncertainty.

Use a quote only when the exact wording is available and appropriate to retain. Otherwise write a clear paraphrase and label it as a summary of the conversation.

## Make the next action specific

“Stay in touch” is not enough for a colleague to continue the relationship. Record what information would make the next conversation useful, who will provide it, and any date actually agreed.

Fictional next step: “Agency to send an overview of its implementation recruiting approach; prospect to confirm whether a role will be approved after planning.” That is different from “Client will open a search next week.”

## Transition to intake at the right point

When a real search is authorized, move the confirmed information into a proper role intake. Do not treat an exploratory discovery note as a complete brief. Requirements, compensation, work arrangement, and the interview process may still need substantial clarification.

Use the [intake agenda](/blog/recruiting-intake-meeting-agenda) and [client intake template](/blog/recruitment-client-intake-template) for that transition. Recruit Recap can create custom notes from selected supported meetings for recruiter review. This guide does not claim CRM automation, lead scoring, automatic follow-up emails, or confirmed commercial outcomes from a discovery conversation.
