Roll out an AI note taker by workflow, with clear owners for setup, review, exceptions, and support. Expand only after the team can produce and hand off an accurate record using the actual meeting arrangements it relies on.

## Assign ownership before adding seats

| Responsibility | Owner to name |
| --- | --- |
| Meeting setup | Person who verifies supported capture and settings |
| Template standard | Recruiting lead who approves required sections |
| Output review | Recruiter accountable for the final record |
| ATS scope | Operations owner for mapping and acceptance |
| Exceptions | Person handling failed capture or transfer |

These roles can be combined in a small agency. The purpose is clarity, not an additional management layer.

## Start with a workflow the team understands

Choose a candidate screen or client intake with an agreed output. Use the [pilot plan](/blog/recruiting-ai-note-taker-pilot-plan) to establish the baseline. Avoid introducing several new templates and a new ATS handoff at the same time if the team cannot distinguish their effects.

Fictional rollout: one desk starts with reviewed Teams intake notes. Phone-heavy desks continue their approved process until capture requirements are verified. That is a scoped rollout, not evidence that the tool covers every agency conversation.

## Train on corrections and failures

Show a fictional note with an overstated responsibility, an ambiguous date, and a failed handoff. Ask recruiters to correct the output and identify the next owner. Training only on successful demos leaves the team unprepared for ordinary exceptions.

Make the fallback process easy to find. Recruiters should not need to improvise when a bot is not admitted or a destination write is uncertain.

## Review adoption alongside quality

Track whether the intended workflow is being used, why it is skipped, and what correction work remains. High usage with poor records is not a successful rollout. Low usage may reflect unsupported call types, unclear setup, or an output that does not help the recruiter.

Recruit Recap supports selected Meet, Teams, and Zoom meetings with custom write-ups for review. ATS integrations are scoped on demand. Use [adoption diagnosis](/blog/recruiting-note-taker-low-adoption) and the [weekly quality review](/blog/recruiting-note-quality-audit) to improve the actual workflow rather than treating purchased seats as proof of value.
