For a Zoom candidate screen, prepare the required recruiting sections, verify the approved capture method, and review the resulting note before sharing it. Separate successful meeting capture from successful production of a usable candidate record.

## Confirm the real meeting setup

| Setup item | What to verify |
| --- | --- |
| Host | Agency or client owns the meeting |
| Capture method | Approved tool and settings for this meeting |
| Access | Intended reviewer can reach the resulting record |
| Fallback | Recruiter knows what to do if capture fails |

Do this with the type of meeting your team actually uses. A demonstration hosted by a vendor does not establish how a client-hosted screen will behave.

## Compare current capabilities fairly

[Zoom's documentation on AI Companion in third-party meetings](https://support.zoom.com/hc/en/article?id=zm_kb&sysparm_article=KB0080354) describes attendance on other meeting platforms when enabled. Avoid outdated claims that a vendor's capabilities are limited to one meeting platform. Verify your own plan and configuration directly.

Recruit Recap supports selected Zoom, Meet, and Teams meetings through a visible opt-in bot. It should be tested on the output you need: recruiting notes and custom write-ups for review.

## Review an example with a meaningful ambiguity

Fictional source: a candidate describes preparing delivery reports and contributing to weekly client calls. A generated note calls them the “client delivery lead.” Check whether the conversation established that authority. If not, preserve the narrower responsibility and add a question for the next interview.

A good test contains this sort of distinction. A perfectly tidy script with no conditions, corrections, or unknowns provides little evidence about the review work your recruiters will face.

## Complete the recruiting record

Use the [screening notes template](/blog/candidate-screening-notes-template) to organize evidence, practical details, and next actions. Confirm that the final write-up uses the correct candidate and role. Then follow the agreed destination process.

If the agency needs an ATS transfer, test it separately with the [integration checklist](/blog/ai-note-taker-ats-integration-checklist). Recruit Recap integrations are scoped on demand. Neither a successful Zoom meeting nor a polished recap proves that the approved note has reached the correct candidate record or that every subsequent correction will propagate.
