Test an ATS handoff using the access roles that will actually use it. Confirm who can read the source, write the destination, review the result, and see any attached material. An administrator's successful test does not prove the workflow behaves appropriately for a recruiter or client-facing user.
Make a role-based test table
| Role | Test to perform |
|---|---|
| Recruiter | Can transfer the approved note to the intended record |
| Team lead | Can review the result needed for oversight |
| Restricted teammate | Does not gain unintended access |
| Integration identity | Has the permissions required for the agreed operation |
Use the organization's approved access policies. This article is a verification worksheet, not a complete security assessment or legal standard.
Test the final artifact
A note may contain links or attachments with different permissions from the ATS record itself. Open the final result as the intended reader. Confirm that useful evidence is accessible where appropriate and that unrelated source material is not exposed.
Fictional example: a recruiter can see a candidate note, but a linked transcript is accessible only to the meeting organizer. The handoff may be technically successful while still unusable for the reviewer. Resolve the access design through the authorized owner rather than making a private link public.
Include negative tests
Check what happens when permission is removed or a destination is restricted. The workflow should surface an understandable failure and preserve a safe path for resolution. Do not solve a failed test by granting broad access without reviewing the need.
When a team member leaves or changes role, the agency should know which system owner handles access changes. Integration setup should not depend on an undocumented personal account.
Record the boundaries of the result
A passed test establishes the observed configuration at that time. It does not prove every future record, permission change, or client workspace will behave the same way. Re-test relevant changes during rollout.
Use the field mapping worksheet to define the payload and the integration checklist to capture acceptance results. Recruit Recap integrations are scoped on demand; verify permission behavior in that scope and do not infer unverified access-control features from this editorial guide.
