Use an AI note taker demo to verify your agency's call types, output requirements, review process, and destination. Ask the vendor to demonstrate a representative workflow rather than walking only through a prepared feature tour.

Bring a concrete test case

Prepare an approved fictional conversation and a blank version of your desired write-up. Include one correction, one conditional statement, and one unknown. Ask to see the finished result and how a recruiter changes it.

AreaQuestion to ask
CaptureCan you show this exact meeting or call method?
OutputWhich sections can we configure, and how?
ReviewHow do we find and correct a consequential error?
DestinationWhat exact ATS record or field is supported in our scope?
OperationsWhat happens when capture or transfer fails?

Record what was demonstrated separately from what was described as possible, planned, or dependent on setup.

Ask about the agency's operating requirements

Have the appropriate owner review access, retention, data handling, support, and contractual questions against the organization's requirements. Ask for current documentation where needed. Do not treat a marketing statement or this checklist as a completed security or procurement assessment.

Confirm pricing and any commitments using a current quote. If an integration requires scoping, identify the next step and owner rather than assuming it is included because the ATS logo appears in a presentation.

Request a failure demonstration

Fictional case: the candidate record cannot be matched confidently. Ask what the recruiter sees and how the issue is resolved. A vendor's ability to show this path can be more useful than another polished summary.

Also ask how a corrected note affects previously transferred information. This distinguishes a one-time export from an update workflow.

End with an evidence list

Write down demonstrated capabilities, unanswered questions, and the pilot acceptance criteria. Avoid turning a sales conversation into an internal promise before the relevant behavior is verified.

Use the pilot plan and buyer guide to continue evaluation. For Recruit Recap, expect selected Meet, Teams, and Zoom meetings through a visible opt-in bot, custom recruiter-reviewed write-ups, and ATS integrations scoped on demand. A demo should establish fit with those boundaries clearly in view.
