When recruiters are not using a note-taking tool, identify where the workflow breaks before adding reminders or more training. Low adoption can reflect unsupported call types, unreliable setup, an unhelpful output, excessive correction work, or an unclear destination.

Find the point where use stops

Observed behaviorQuestion to investigate
Meetings not selectedIs setup clear and capture appropriate?
Notes generated but ignoredDoes the output match the recruiter's task?
Heavy rewritingWhich fields create repeated errors or clutter?
Output copied elsewhereIs the destination workflow unfinished?
Only one desk uses itDo other desks have different call methods?

These are hypotheses to test with actual users, not conclusions about why any specific agency has low adoption.

Observe one complete workflow

Ask a recruiter to show an approved example from meeting setup to final record. Note where they switch tools, repeat work, or stop trusting the output. Use fictional data if the observation environment is not approved for candidate information.

Fictional finding: the team likes the summary but has to rebuild its client format each time. The next change may be a better custom template, not another reminder to use the tool.

Separate skill gaps from product gaps

Training can address an unclear review step. It cannot make an unsupported phone system compatible or establish an unbuilt ATS connector. Record which problems can be fixed through configuration and which require a different scope or process.

Do not measure success solely by the number of recordings. The intended outcome is usable, reviewed work in the right place. More captured calls can still mean more unreviewed material.

Change one meaningful thing and recheck

Choose a specific improvement, such as separating interview availability from start date or reducing irrelevant sections in an intake template. Check whether the change improves use and quality on comparable work.

The team rollout guide defines ownership, and review-time measurement helps quantify effort. Recruit Recap supports selected online meetings and custom write-ups for review; integrations are scoped on demand. Evaluate adoption within the supported workflow rather than expecting a tool to solve tasks outside its verified capabilities.
