A custom recruiting note template should define each section, the evidence it may contain, how to handle unknowns, and what the reviewer must confirm. Headings alone do not explain the difference between candidate statements and recruiter interpretation.
Define the field, not just its name
| Heading | Useful instruction |
|---|---|
| Relevant experience | Summarize candidate-stated actions tied to the role |
| Practical details | Preserve currency, period, dates, and conditions |
| Open questions | List information not established in the conversation |
| Next steps | Include only actions actually agreed and their owners |
This is an original instruction set to discuss with your provider, not a product configuration syntax.
Avoid prompts that invite unsupported conclusions
“Explain why this candidate is perfect” presupposes an answer. “Summarize the evidence relevant to these requirements and identify gaps” gives the reviewer a more useful starting point.
Fictional source: the candidate contributed to a reporting project. A section called “Leadership strengths” may encourage broad interpretation. A field called “Responsibilities the candidate described owning” is more specific and easier to check.
Make empty information meaningful
Define how the output should represent a question that was not asked, a fact that was unclear, and an explicit candidate statement that they lack a particular experience. Do not let all three become an empty cell or the word “no.”
Keep the template proportionate to the meeting. A short exploratory conversation should not generate a fully populated final assessment form. Different stages may require different outputs even when the brand formatting is shared.
Test before making it standard
Run a known fictional conversation through the proposed format. Review whether every section contains the right kind of information and whether the instructions cause duplication. Revise fields that consistently invite invented or irrelevant detail.
Use the accuracy test and screening template as starting points. Recruit Recap supports custom write-ups from selected supported meetings. Agree the actual template behavior during setup and review the resulting content; the existence of a configurable format does not guarantee every instruction will be followed perfectly or make recruiter approval unnecessary.
