Which AI note taker should a recruiter shortlist?

Choose by the work that follows the conversation. An agency producing client introductions should test the write-up format and review process. A hiring team completing interview scorecards should test the evaluation workflow. A phone-heavy desk should verify capture on its actual devices before considering summary quality.

This list contains Recruit Recap and ten alternatives. The order is for navigation, not a quality ranking. We selected recruiting-specific products and broader meeting assistants relevant to those buying decisions, then checked their official public pages. We have not run a controlled accuracy, speed or cost benchmark. “Best” means best fit for a verified requirement, not one winner for every agency.

Recruit Recap: custom agency write-ups

Recruit Recap supports selected Meet, Teams and Zoom meetings through a visible opt-in bot. It produces recruiting notes and custom candidate/client write-ups for recruiter review. ATS requirements are scoped on demand. Product details.

Bring your client introduction format and ask for a draft that preserves the difference between evidence and an unanswered question. Do not assume direct telephone capture, bot-free recording or universal ATS write-back. A team requiring those capabilities should establish them before considering this option.

How to compare the finalists

Shortlist two or three tools that cover your required capture channel. Give them the same fictional screen, client brief and output instructions. Allow equivalent template configuration: comparing one default transcript with another product’s customized draft is not a fair evaluation.

Ask a recruiter to review each result and record:

  • Whether each important statement has support in the source conversation.
  • Whether missing information remains visible.
  • How much rewriting is needed to match the client format.
  • What happens when a draft is corrected after its first handoff.
  • Which additional setup, subscriptions and people the workflow needs.

For a US screen, make compensation expectations explicit about USD and annual or hourly basis. Preserve the candidate’s stated availability without turning a tentative date into a promise. Use fictional or appropriately prepared material during evaluation.

What should your price comparison include?

Compare the same users, billing period, meeting volume, storage requirements and automation scope. Ask whether the advertised capture method, output customization and integration are included in the proposed plan. A free personal account does not establish the price of an agency rollout.

Recruit Recap’s current pricing is published on the product site. Confirm current plans with each vendor through the source links above. We have not assigned a cheapest or best-value label because these configurations are not equivalent.

Questions agencies often ask

Do recruiting agencies need a specialist note taker?

Only if the specialist workflow gives you a useful improvement over your configured alternative. Several broader meeting assistants now provide custom outputs and recruiting integrations. Test the document and handoff your team needs rather than relying on the category label.

Can a note taker replace an ATS?

Do not assume so. An ATS manages candidate records and recruiting workflow; a note taker captures and structures conversation information. Loxo’s option sits within its platform. Establish where the authoritative record will live for every other setup.

Which option is best for phone screens?

Start by defining “phone screen.” A screening interview on Teams is different from a call on a mobile network or desk-phone system. Require a demonstration of the exact call path. Recruit Recap’s verified capture scope is selected supported video meetings.

If the purchase is primarily about the client-facing document, use the candidate submittal shortlist. For a full requirements worksheet, read the AI note taker evaluation guide.
